This policy explains how Momentum Business Community uses and protects the personal information provided through our website, events and members’ hub.

Who is responsible for your information?

Momentum Business Community is the controller of the personal information described in this policy. For privacy questions or requests, email hello@momentumbc.co.uk.

Information we collect

  • Application details, including your name, business, contact details, website and reason for applying.
  • Member account and directory details, including profile information and photographs you choose to provide.
  • Community activity, including referrals, referral values and outcomes, 1-to-1 meetings, event responses and attendance.
  • Guest registration details, including who invited you, membership interest and your separate marketing choice.
  • Messages sent to us and limited technical or security information created when you access the service.

How and why we use it

We use personal information to review applications, administer membership, provide the private members’ hub, organise events, record community contributions, respond to enquiries, protect the service and meet our legal obligations.

Our lawful bases are taking steps at your request and performing our membership agreement, our legitimate interests in operating and improving the community, compliance with legal obligations, and consent where you separately choose to receive marketing.

Who can see your information?

Active members can see the information included in the member directory. Referrals and 1-to-1 records are restricted to the relevant members and Momentum administrators, as appropriate. Administrators can access information needed to operate the community, review applications, manage events and provide support.

We use trusted service providers including Supabase for database and authentication services, Vercel for website hosting, Resend and Google Workspace for email, and Eventbrite where an event uses its booking service. These providers process information under their own contractual and security arrangements. We do not sell personal information.

International processing

Some service providers may process information outside the United Kingdom. Where this happens, we rely on recognised safeguards such as adequacy regulations or approved contractual protections.

How long we keep it

We keep information only for as long as it is needed for the purpose collected. Member accounts and activity are normally retained while membership is active and for a reasonable period afterwards to maintain community records and resolve queries. Unsuccessful or withdrawn applications and guest records are reviewed periodically and removed when no longer required. Marketing details are retained until consent is withdrawn or they are no longer needed. Information may be kept longer where required for legal, accounting, fraud-prevention or dispute purposes.

Your rights

Depending on the circumstances, you may ask to access, correct, erase or restrict your personal information, object to its use, or receive a portable copy. You may withdraw marketing consent at any time without affecting earlier lawful use.

Security and policy changes

We use access controls and reputable service providers to protect personal information, but no online system can be guaranteed completely secure. We may update this policy when the service or legal requirements change; the latest version will always appear on this page.
